Cancellation, Refund, and Weather Policy

1. Cancellations

As your event date approaches, we begin preparing your order, reserving items, blocking delivery routes, and turning away other bookings. Because of this, we’re unable to offer full refunds for cancellations made within 14 days. We appreciate your understanding.

  • All refunds are issued to the original payment method, minus the non-refundable deposit.

  • Merchant and administrative fees will also be deducted from the refunded amount.

  • We do not issue refunds in cash or through alternative payment methods.

Refund Schedule:
15+ days before pickup/delivery: Full refund minus deposit/fees
7–14 days before pickup/delivery: 50% refund minus deposit/fees
3–6 days before pickup/delivery: 25% refund minus deposit/fees
Less than 3 days before pickup/delivery: No refund


2. Deposits

  • All deposits are non-refundable, regardless of when the cancellation occurs.

  • Deposits cannot be transferred to another customer or redeemed for cash.


3. Store Credit 

  • Valid for 12 months from the original event date

  • May be applied toward future rentals of equal or greater value

  • Non-transferable and not redeemable for cash


4. No-Show & Missed Deliveries

  • If the customer is unavailable during the scheduled delivery or pickup time, no refund will be issued

  • A re-delivery fee will apply if the delivery must be rescheduled


5. Weather-Related Cancellations (Tent Rentals Only)

At Miami Valley Party Rentals, safety is our top priority.

In the event of severe weather (e.g., high winds, storms, lightning, or flooding), customers may:

  • Reschedule to a future date (based on availability)

  • Receive store credit for the full rental amount, valid for 12 months

Refunds will only be issued if Miami Valley Party Rentals cancels due to unsafe conditions. This includes:

  • Wind speeds exceeding 25 mph (unsafe for some tents)

  • Heavy rain or flooding that prevents setup or delivery

  • Severe weather warnings or forecasts posing safety risks

In these rare cases, customers will receive a full refund minus the deposit and fees, or may choose store credit for the full amount (valid 12 months from the original event date).


6. Public Health & Emergency Events

In the event of widespread disruptions—such as a government-declared pandemic, natural disaster, or other state of emergency:

  • No refunds will be issued, including for cancellations made within the standard refund window.

  • Affected customers will receive store credit valid for 12 months from the original event date.

  • This policy ensures fairness while supporting business continuity during large-scale events.
